Business Continuity Planning (COVID-19 Virus)

As the threat of the COVID-19 (Coronavirus) develops Quantum Software is changing its work practice to incorporate the following:

  3. Secure data transfer platforms.
  4. Home printing facilities.
  5. Escalation process
  6. Remote Control Supervision and Management Controls.

At Quantum Software we are acutely aware of the treat imposed by this virus and are implementing these processes to protect staff and the public at large.

Our vision, should self-isolation be imposed or Government related instruction be applied to movement, is to continue the service currently being supplied as if it is office based.

The Quantum technical team have issued all staff with kits giving them the facility to work from home. 

In addition we foresee these process being enhanced as new tools become available, we would ask all clients to keep abreast of these changes by visiting our website  .

Microsoft released a Windows Update on Tuesday Night / Wednesday morning for both Windows 7 , 8 and 10. Unfortunately, there is an error in the update which has the potential to create a major problem with certain versions of Microsoft Access which are utilised by Quantum Payroll.

If you purchased your Quantum Payroll in 2007 or later, then you are unlikely to be affected, however, as a precaution, we would recommend that you take a copy of your payroll folder for security using Windows Explorer (and not Quantum Backup option).

If you have not installed this update on your system then you will not have a problem and you may continue as normal, but ensure that you do not install any Microsoft Security Updates until further notice.

If you purchased your payroll prior to 2007 and have installed the update then you should immediately cease using your payroll until you receive further instructions from Quantum Software as you are likely to experience problems and will likely corrupt your data files.

The problem identified is related to the following updates:

• For windows 10 Version 1809 Windows Security Update KB4480116
• For Windows 10 Version 1803 Windows Security Update KB4480966
• For Windows 7 Windows Security Update KB4480970

Our suggestion is as follows:

Take a copy of your payroll folder but DO NOT use Quantum Payroll to perform this task, we suggest you use Windows Explorer for this.

a) Uninstall the latest windows security update or stop using Quantum Payroll immediately.

b) Turn off Automatic Windows Updates. These updates can be manually updated when a clean update becomes available. If this is not turned off this particular Security update could re-install itself.

c) If these security updates have as yet been installed then we suggest postponing the installation until further notice.

We have identified the most likely cause of the problem and we are endeavouring to provide a work-around as quickly as possible. In the meantime, it is vital that you do not run the payroll for affected company files if you have installed any of the Windows Updates as detailed above.

Important Reminder for Employers – List of Employees

You will be aware that, since the end of June this year, a facility has been available to you through ROS to upload your List of Employees. If you have already successfully submitted your List of Employees, thank you.

The List of Employees is an important preparatory step for the transition to PAYE Modernisation which will ensure that both Revenue and employer records are accurate and up to date. It will ensure that all your staff are registered with Revenue as your employees.

If you have employees currently working for you that are not registered with Revenue as your employees, then from January 2019 an employer tax credit certificate (called a Revenue Payroll Notification from 1 January 2019) will not be available for these employees. In the absence of a Revenue Payroll Notification, employees will pay

emergency tax. Under new PAYE Regulations, employers will no longer be able to apply the tax credits and rate band from a P45 provided by an employee or use an employer tax credit certificate (P2C) from a previous year.

If you have not submitted your List of Employees, you should act now. Submitting a list of current employees now and continuing to operate standard P45/P46 procedures will ensure that tax credits will be available for your employees in January. The closing date for submission of the List of Employees to Revenue is 31 October 2018.
